Overview of Roles
A Role is a set of permissions that can be attached to users. If you work for a large organization, you might want to get a few more team members involved in the creation, personalization, and moderation of your Boards. That’s what Collaborators are for! Just assign a Collaborator to a Role, and your team will be able to access the platform.
Please note that you must be an account admin, or have the necessary account privileges from your account admin to be able to access, create, and edit Roles and Collaborators.
Unable to find Collaborators and Roles?
As a TINT client, you would have previously found Collaborators and Roles on Team Settings page under your profile name. As TINT and Zinrelo have become TrueLoyal, this has now moved to a new location to make it accessible for everyone. Roles will now live in the sidebar under Global Settings. This article will be updated shortly with the new instructions and images to guide, but please find below where to find this in your dashboard.
How to create a role
To create a role with a set of permissions, proceed with the following steps:
- Click on your name in the top right corner
- Click on Team Settings
- Click on Roles
- Click on +Add
- This will open up a different view
- Fill in and select all the relevant permissions. To get a detailed description of the permissions, click on Show Details in the right-hand corner.
- Click Save
You can also create a role whilst you are inviting a collaborator.
How to edit a role
You can edit Role permissions and access at any time. To edit this, proceed with the following steps:
- Go into Role
- Use the search or find the role you want to edit
- Click on the ...
- Select or unselect the permission that you want to change or the role title if you would like to update this
- Click Save
How to bulk edit collaborators (role)
- Click on Team Settings
- Click on Collaborators
- Select the multiple collaborators that you wish to bulk change the role of
- Click on the ...
- Click on Edit
- This will open up a different view
- Select the role
- Choose if you would like to Skip SAML Authentication
- Click Apply
This will change all the collaborators on the same role that you picked.
How to delete a role
If you want to delete a role, first you must make sure that the role has no collaborators on it otherwise, the delete option will not appear. To delete a role, proceed with the following steps:
- Go into Role
- Use the search or find the role you want to delete
- Click on the ...
- Click Delete
How to filter roles by permissions
You can see which roles have what permissions. To delete a role, proceed with the following steps:
- Go into Role
- Click on Permissions
- Click on the permission you want to filter by
- The list should appear
Collaborators
How to invite a collaborator to join your team
To get a collaborator to join your team, you would need to invite them. To invite them to the platform, proceed with the following steps:
- Click on your name in the top right corner
- Click on Team Settings
- Click on Collaborator
- Click on +Add
- This will open a pop-up on the right-hand side
- Type in the email of the collaborator you want to invite
- Click the plus sign or press Enter to add the email in
- Click on the dropdown under ASSIGN A ROLE to create a role or add, or search for a pre-existing role
- If your account has SAML enabled, you will see the additional option of SKIP SAML AUTHENTICATION. The default is set at No (Recommended,) so you keep SAML switched on, but if you choose Yes, then this collaborator will use their password to sign in and will not be redirected to your corporate sign-in page. If you do not see this option and your account has SAML enabled, this means that you do not have manage security settings permission.
- Click Add to send the invite
Once you have pressed add your collaborator will receive an email asking them to join your team. If the person has never been a part of a team, it will send the following email:
The email is valid for 2 hours. Either click on Choose a password on the email and if it's valid it will get to you set up your password or it will take you to https://id.trueloyal.com/passwords/new and type in your email address if not filled in already and this will send you a new email so you can set your password.
How to download a list of your collaborators
- Go to Team Settings
- Click on Collaborators
- Locate the Settings Cog and click on it
- Select Export to CSV
- The file will take a few seconds to download depending how large your list is
How to change the role of a collaborator
- Go into Collaborator
- Use the search (only full emails will return a result due to security) or find the collaborator you want to change.
- Click on the ...
- Click Edit
- Choose a different role
- Click Apply
How to disabled/enabled SAML on a collaborator
Inside the platform, you can have a mix of SAML collaborators and non-SAML collaborators. This is extremely useful if you use outside contractors or agencies, which might not necessarily have access to your corporate credentials, but you would like them to be able to use the platform. To change the SAML status of a collaborator, do the following:
- Go into Collaborator
- Use the search (only full emails will return a result due to security) or find the collaborator you want to change.
- Click on the ...
- Click Edit
- Click on SKIP SAML AUTHENTICATION dropdown to change it to Yes to switch SAML off for a collaborator or No (Recommended) to switch SAML on. This option will not be available if the account does not have SAML implemented or if you do not have the manage security settings permission to see this.
- Click Apply
- The SAML indicator changes from Green to Grey when it's been switched off or from Grey to Green when it's been switched on
How to tell if SAML is enabled/disabled on a collaborator
Under the collaborator, there's an SAML label if it's in Grey, SAML is switched off, or if it's Green SAML is switched on.
If SAML hasn't been implemented on your account, you will not see any labels.
How to delete a collaborator from your team
To delete a collaborator, proceed with the following steps:
- Go into Collaborator
- Use the search (only full emails will return a result due to security) or find the collaborator you want to delete.
- Click on the ...
- Click Delete
How to filter by SAML in collaborators
- Go into Collaborators
- Click on SAML (this option will not be available if the account does not have SAML implemented)
- Click on All, Yes to see all the collaborators that have SAML enabled, or No to see the collaborators that use their password to log in and are not on SAML
- The list should appear
How to bulk delete collaborators
- Click on Team Settings
- Click on Collaborators
- Select the multiple collaborators that you wish to bulk-delete
- Click on Delete
- A pop-up will appear with Are you sure? This action will permanently delete collaborators. Are you sure you still want to continue? Click Ok to continue or cancel to cancel the action
- The collaborators will disappear and be deleted
How to filter by role in collaborators
- Go into Collaborators
- Click on Role
- Click on the Roles you want to filter by
- The list should appear
